Discover the unique opportunity to work with our client at The Open University, a distinguished public Distance Learning and Research University. As one of the largest universities in the UK for undergraduate education, they are at the forefront of innovation and education excellence.

We have an exciting opportunity as a temporary Faculty Assistant, to provide administrative and secretarial support for the Faculty's Equality, Diversity & Inclusion (EDI) and Access, Participation & Success (APS) portfolio within The Open University, to start on 01/07/2024 until 31/10/2024. This position offers 18.5 hours a week Monday - Friday (specific hours to be negotiated), hybrid working with the occasional visit (approximately once a month) to the Milton Keynes Campus and is paying 13.38 per hour.

About the Role

The work of this team is designed to support the Faculty's implementation of staff EDI initiatives and student APS initiatives. We are looking for a dynamic, organised, and passionate individual to help us achieve our vision.

Key Responsibilities

  • Provide proactive administrative and secretarial support as appropriate, working in conjunction with other members of faculty EDI and APS teams/projects. Activities include but are not limited to:
  • Secretarial duties: diary management, meeting arrangements and invites, storing information in line with GDPR.
  • Administration duties: maintain and update electronic filing systems, websites and email distribution lists, prepare and circulate confidential documents as required.
  • Provide organisation and support for the delivery of meetings, events and workshops including making arrangements for external speakers
  • Update intranet content and email distribution lists as required
  • Maintain the APS Microsoft Teams site as required and ensure information is kept up to date and accessible to all relevant colleagues

Skills and Experience

The ideal candidate will have:

  • Experience of working effectively and co-operatively in a team to achieve organisational goals
  • Extensive experience of office administration including organising meetings, taking notes/minutes, planning and organising one's own work
  • The ability to use absolute discretion, initiative and personal judgement for dealing with sensitive and confidential matters and for problem solving.
  • A high level of attention to detail
  • Good written and oral communication skills including active listening skills and experience of using a variety of communication methods
  • The ability to work to deadlines and deal with multiple tasks in parallel, switch between tasks, sometimes at short notice, and share knowledge appropriately.
  • A high level of IT skills including use of Microsoft applications, particularly Teams, SharePoint, Word, PowerPoint, Excel and Outlook.
