This is a great opportunity for an experienced administrative professional to join an established and successful business, based on site in Annesley, Nottinghamshire. Prolog Fulfilment Ltd has over 30 years’ experience of partnering with brands to develop their business, with two multi-user warehouses, totalling 250,000 sq. ft, along with a Contact Centre based in Sudbury Suffolk – overall employing circa 240 staff members.

The Executive Assistant involves providing high-level administrative assistance, ensuring seamless operations, and maintaining confidentiality across client and staff matters. This position requires exemplary planning, time management, and professionalism to support executives effectively and manage various tasks with precision.

What you need to apply for this role:

  • Previous experience working in a similar position – Executive Assistant, PA, Secretary – min 2 years
  • Proficient in Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong attention to detail
  • Ability to take accurate minutes
  • Exemplary planning and time management skills
  • Experience of supporting multiple senior managers with changing priorities
  • Good interpersonal skills, flexible and adaptable
  • Professional attitude, self-driven and motivated
  • Able to perform under pressure
  • Very discreet and able to work in an environment where confidentiality is key
  • Commercially aware
  • Good understanding of cyber prevention related to targeting emails

What the role involves:

  • Uphold a strict level of confidentiality at all times pertaining to both client and staff matters
  • Provide general administrative duties, to include photocopying, collation, and production of statistics, monitoring of correspondence and maintenance of filing system
  • Liaise with internal staff at all levels
  • Conduct Research, collect and analyse data to prepare reports and documents
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Maintain diary, arrange meetings, events, and appointments
  • Manage emails, ensuring actioned within an appropriate timescale
  • Maintain an organised filing system of paper and electronic documents
  • Arrange travel and itinerary
  • Develop and sustain a level of professionalism among staff and clientele, ensuring confidentiality is maintained
  • Handle requests and queries appropriately
  • Welcome guests and customers by greeting them, in person or on the telephone, answering or directing inquiries
  • Attend meetings as required, providing note taking support
  • Cover reception duties
  • Any other reasonable administrative and clerical duties which may be required from time to time, as directed

Salary/hours: £25,000 - £30,000 per year. Working Monday to Friday between the hours of 8.30am – 5.30pm, with one hour for lunch each day.
