PA & Lead Client Support for Law Firm

My client is an established and progressive Law Firm as a Practice Assistant, you will be the vital link providing exceptional administrative support and client service to fee earners at this top national law firm. The role supports the Property/Conveyancing team and is an excellent mix of PA & Administrative support as well as client contact. The role will entail:

Client Care:

  • Develop close client relationships, handling queries and communications
  • Manage document production, formatting and accuracy checks before sending to lawyers
  • Take client calls, arrange meetings/events and manage data rooms per case milestones

Administration:

  • Oversee file opening, closures, compliance, key dates and general record-keeping
  • Produce engagement letters, spreadsheets and maintain CRM data integrity
  • Support business development initiatives like tenders, pitches, client training
  • Organise internal/external events, minute-taking and following up on actions

Communication:

  • Main point of contact managing queries, post/emails for fee earners
  • Draft responses, collate paperwork, update colleagues when providing cover
  • Liaise with managers regarding planned absences and arranging cover

Financial:

  • Assist with complex billing, ensuring accuracy per contractual requirements
  • Manage time recording, disbursements, WIP certification process
  • Handle payment requests, expenses and other financial administration

Legal Support:

  • Prioritise and manage workloads to meet deadlines, liaising with managers
  • Maintain accurate client/matter data in case management systems
  • Carry out online applications, searches and SDLT submissions
  • Ensure compliance with firmwide policies, procedures and security protocol

Applicants will have previous experience working for a Law Firm in an administrative/PA capacity. You will have experience of managing stakeholders and speaking to clients. Knowledge of the conveyancing process would be beneficial.
