Senior Office Administrator

The Company
This well-established organisation installs and services perimeter security and industrial doors throughout the UK. They are currently in a period of growth and now require a senior administrator to join the team based in their offices in Port Talbot.
Duties
This is a general office administration position offering a wide variety of duties and responsibilities. It is a permanent, full-time position working from 09:00AM - 05:00PM Monday to Friday on site at their well-appointed offices in Port Talbot. The position offers plenty of potential to grow and develop a career within the organisation. There is also scope to further develop systems and procedures within the role. Duties will include:
- Booking in of all new jobs
- Liaising with customers to arrange installations
- Allocating work to the engineers (4)
- Answering all incoming calls, handling queries or redirecting calls to the relevant person
- Working on the CRM system (Big Change) loading new customers and keeping records up to date
- Assisting in the further development of the CRM to expand usage and functions
- Payroll preparation, collating hours worked, overtime and forwarding to external service provider
- Preparing service reports and forwarding to customers
- Emails to clients to arrange and confirm installation or service
- Contacting existing customers for service requirements and reminders
- Accounts administration including chasing payments and invoicing using Quickbooks
- Ordering stationery and consumables
- Passing new business enquiries to the Sales department for quoting
- Basic HR administration, maintaining staff files, holiday and sickness records etc
- Any additional administration duties as required
Requirements
The successful applicant will have the following skills, attributes and experience:
- Demonstrate a solid administration background encompassing a wide variety of duties
- Previous experience in booking and scheduling preferred
- Ability to multitask and manage a busy and varied workload
- Solid computer skills MS Office, Word and Excel experience is essential
- CRM and accounting package experience required (cross training to Big Change and Quickbooks will be provided)
- Happy to take responsibility as the sole charge administrator for the company
- A team player with the confidence to handle own responsibilities
- Solid attention to detail and accuracy
- Excellent written communication skills, confident in writing to clients in a professional manner
- Professional verbal customer service skills
- A flexible employee willing to help out wherever required
