One of our local authority clients are currently recruiting for an Administrative Assistant. This is a temporary contract for 6 months with possible further extension based on budget and performance.
Main Purpose of Post/Job Summary
The successful post holder be providing administrative support to ensure efficient operation of the office. They will support managers and employees through a variety of tasks related to organization and communication. The post holder will also be responsible for confidential and time sensitive material and will be familiar with the council's practices, and procedures.
Duties and Responsibilities
- Answer and direct phone calls.
- Organize and schedule appointments and meetings.
- Produce and distribute correspondence memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Book travel arrangements and order supplies.
- Submit and reconcile expense reports.
- Provide information by answering questions and requests.
- Maintain computer and manual filing systems.
- Handle sensitive information in a confidential manner.
- Take accurate minutes of meetings.
