Office Manager / PALocation: Sutton Coldfield (Fully on site)Salary: £40,000-£45,000Overview:We are seeking a highly organised and proactive Personal Assistant / Office Manager to support the Directors and Management Team of a dynamic property development company. This role is ideal for a motivated individual who thrives in a fast-paced environment, enjoys multitasking, and is passionate about providing exceptional administrative and tenant-facing services.Key Responsibilities:Executive & Administrative Support
  • Provide high-level PA support to the company Directors, including diary management and travel arrangements.
  • Prepare and collate materials for management and Centre meetings.
  • Take minutes in meetings and distribute accordingly.
  • Maintain an efficient and organised filing system.
  • Manage office hospitality and ensure a professional, welcoming environment for visitors.
Office & Facilities Management
  • Ensure smooth day-to-day running of the office, including IT coordination, general administration, and supplies management.
  • Maintain the overall appearance and functionality of the workspace to support a pleasant working environment.
  • Upload and code invoices in line with internal procedures.
Tenant & Centre Support
  • Act as a central point of contact between tenants and the management team.
  • Build and maintain positive relationships with all tenants through proactive and responsive communication.
  • Arrange tenant handovers at lease start/end, including meter readings, key collections/returns, and updating contact details.
  • Maintain up-to-date tenant directories and contact information.
  • Collate weekly trading performance from tenants and produce comprehensive monthly reports.
  • Conduct and report on centre utilities (electricity, gas, water) readings monthly.
  • Produce weekly and monthly footfall reports for performance analysis.
Compliance, Health & Safety
  • Ensure compliance with Health and Safety policies and relevant legislation.
  • Participate in and help coordinate centre emergency evacuation procedures.
  • Maintain up-to-date knowledge and application of all procedures relating to work activities.
