Engineering Office Manager / Administrator who has good organisational, time-management, communication and administrative skills is required for a well-established manufacturing company based in Ashton Keynes, Swindon, Wiltshire.

This job will involve around 75 / 80% of your time managing the office administrative function. The rest of your time will include coordinating work between the Engineering Team, checking product delivery timescales ensuring deadlines are met.

KEY REQUIREMENT: Previous experience working within an Engineering or Manufacturing industry is essential.

SALARY: Up to£40,000 per annum (depending on skills and experience) + Benefits

LOCATION: Ashton Keynes, Swindon, Wiltshire (100% Office Based) with occasional site and client visits

JOB TYPE: Full-Time or Part Time, Permanent (salary will be pro rata for part-time)

WORKING HOURS: 8.00am - 5.30pm Monday to Thursday and 8.00am - 2.30pm Friday (part-time hours will be considered)

JOB OVERVIEW

We have a fantastic new job opportunity for an Engineering Office Manager / Administratorwho has good organisational, time-management, communication and administrative skills.

Working as the Engineering Office Manager / Administrator you will be responsible for overseeing the smooth day-to-day operation of the office environment from invoicing, preparing and sending out contracts and agreements, liaising with suppliers and managing incoming enquiries.

As the Engineering Office Manager / Administrator you will also keep all staff records up to date, support recruitment activities and document all holiday requests. You will also keep the company’s inhouse IT systems updated and support the business with a wide range of administrative tasks.

In addition to your administrative responsibilities, you will also support the Engineering Director on the engineering floor, checking that work is allocated to the engineering team and timescales will be met.

DUTIES

Your duties as the Engineering Office Manager / Administrator include:

  • Coordinate office activities and operations with the manufacturing factory
  • Manage office supplies inventory and place orders as necessary
  • Oversee administrative staff and allocate responsibilities to ensure maximum productivity
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail
  • Maintain filing systems and databases, ensuring accurate and timely record-keeping
  • Assist in the preparation of reports, presentations, and other documentation as required
  • Support the Engineering Director and liaise closely with the Engineering Team

CANDIDATE REQUIREMENTS

  • Proven experience as an Office Manager or within a similar role
  • Experience working in an engineering / manufacturing environment is essential
  • Sound knowledge of machinery / manufacture and product assembly is essential
  • Excellent coordination, time-management, organisation, communication, and administrative skills
  • IT Proficiency in MS Office and office management software
  • Strong attention to detail and problem-solving abilities
  • Ability to multitask and prioritise tasks effectively in a busy environment
  • A proactive and resourceful approach to resolving issues and improving processes
  • Exceptional interpersonal skills and the ability to work well within a team
