The role:

08.00 – 16.30, Monday - Friday

We are seeking an experienced administrator who is capable to managing a team of trades people/sub contractors to assist with delivery of our prestigious Defence Projects.   Working primarily from our offices based at HMS Raleigh , using a bespoke diary management system, to effectively schedule works to provide a quick and efficient service in ensuring resident concerns are attended and completed within the agreed timeframe.  This is a fast paced and busy working environment, dealing with inbound and outgoing calls and maintaining databases and engineer’s information and diaries as required.

As the Assistant Supervisor/Administrator, working direct for the Site Supervisor, you will liaise with and co-ordinate the team, the engineers and sub-contractors to deliver works on time and on budget.  You will respond to queries for clients, and engineers swiftly and effectively, offering resolution with minimum impact on service delivery.

  • Allocate daily, weekly, and monthly tasks to operatives in a timely manner.
  • Obtain quotes from subcontractors in accordance with SFG20 requirements and raise subsequent subcontractor orders to submit to purchasing for purchase orders to be raised.
  • Ordering of materials and plant for the onsite team.
  • Enter chargeable jobs onto the vixen system.
  • Booking visitors/contractors in with the security for access to site.
  • Closing of reactive and PPM tasks on CAFM system (Maximo) with attaching of relevant reports as required
  • Integration of Maximo to enable easier management of work orders and resources
  • Raising and issuing of quotes
  • Ensuring Health & Safety Standards are maintained at all times, to include obtaining RAMs and any certificates required for permit works
  • HR functions, tracking of sickness and leave absence
  • Managing and recording of petty cash
  • Deputise for the Site Supervisor in their absence

You will be the first point of contact between the client and the engineer or contractor; assist with the delivery of management information and attend team meetings and assist with recording and maintaining data for reporting.

Training in bespoke systems will be provided.

You will need:

You will have previous experience of working alongside a team; you will have the ability to prioritise your work and act on your own initiative if required. IT skills (basic packages) and strong communication skills are essential. Knowledge and awareness of contract PPM and reactive maintenance within a fixed price facilities management contract   Previous experience of working in a MoD environment is desirable but not essential.
