We are now seeking a highly organised, proactive Executive Assistant to be based in our Welling office, working directly alongside the Managing Director. This is a hands-on role in a fast-paced environment, ideal for someone who thrives on structure, organisation, and keeping projects moving.
The Role
As Executive Assistant, you will be the right hand to the MD — helping manage priorities, streamline communication, and ensure the smooth running of both business and project commitments.
Key Responsibilities
- Manage the MD’s inbox and WhatsApp workflow — prioritise, filter, and flag only what requires attention.
- Maintain the MD’s calendar, scheduling meetings and protecting time for strategic work.
- Translate inbound requests (emails, messages, calls) into Trello tasks and track through to completion.
- Draft and proof key documents, emails, presentations, and reports.
- Liaise with brokers, admin team, and external partners to progress tasks without requiring MD intervention.
- Provide admin support on business projects (marketing launches, events, new systems).
- Handle occasional personal admin to free up headspace for strategic work.
About You
- Highly organised, structured, and detail-oriented.
- Strong written and verbal communication skills.
- Confident managing large volumes of emails and messages.
- Tech savvy — able to use Trello (or other project management tools), Microsoft 365/Google Suite, WhatsApp Business, Zoom/Teams.
- Discreet, professional, and trustworthy handling sensitive information.
- Proactive self-starter who takes initiative and anticipates needs.
- Previous EA/PA or operations/admin experience in a professional environment preferred.
Why Join Us?
- Office-based role, working closely with an entrepreneurial MD in a growing financial services business.
- Chance to play a pivotal role in shaping how the business operates as it scales.
- Exposure to finance and property development industries.
- Clear career progression opportunities (future Ops Manager/Business Manager role).
