Are you ready to step into a pivotal role as a Team Assistant supporting a small yet rapidly growing board-level Executive Search firm in the heart of the Westend? We are seeking a confident, professional, and ambitious individual who understands that outstanding service is key to delivering the best results. In this role, you'll be fundamental to the business, working closely with a team of Executive Assistants to ensure the highest quality outcomes. This position offers a genuine opportunity for progression and the chance to contribute to a successful and dynamic team.

What you will do:

As our new Team Assistant, you will provide vital administrative support to a small team of four Executive Assistants and a broader group of Partners, Consultants, and Researchers. Your responsibilities will include meeting and greeting clients and candidates, preparing meeting rooms, and sharing general administrative tasks. You will coordinate meetings, lunches, video conferences, travel, and other arrangements with clients and candidates. Additionally, you will prepare various documents such as candidate reports, references, client updates, long lists, shortlists, proposals, engagement letters, and invoices. Answering and transferring phone calls, preparing monthly expense reports for Partners and Consultants, and planning regular events are also part of your role. General office duties such as ordering stationery, managing office supplies, handling post, liaising with service providers, and utilising the firm's database to manage assignments, update records, and find information will ensure smooth operations within the team.

What you will need:

Our client seeks a professional with previous administrative experience in a fast-paced environment. As the first point of contact for clients and candidates, you will possess a naturally confident communication style and a smart, professional appearance. You should be capable of quickly learning new tasks, supporting multiple people simultaneously, and managing your own workload. Comfort with changing priorities and last-minute adjustments is essential. You will work as part of a small, close-knit team, contributing broadly to the firm's development. Excellent written and oral communication skills, flexibility, a solution-focused mindset, and a good sense of humour are crucial.
