Due to our continued growth, we now require a Part Time Payroll Specialist to work alongside our Payroll Manager as part of the wider HR function. The role is contracted for 65 hours per month; however, a high degree of flexibility is required. Working hours may need to increase or be adjusted, particularly during busy periods within the payroll cycle, to ensure key deadlines are met. Core hours will be required to be 10:00am to 2:00pm on working days. The Payroll Specialist is responsible for assisting in the accurate and timely processing of payroll for employees across multiple entities. This role ensures compliance with payroll regulations, tax requirements, and company policies while maintaining accurate records and resolving payroll-related queries.
The Payroll Specialist will support the Payroll Manager in all payroll-related functions, including reconciliations, statutory reporting, pension contributions, and year-end processing. A key focus of the role is to provide a high level of accuracy and efficiency, ensuring employees are paid correctly and on time while adhering to all relevant legislation and internal controls.
Assist in processing payroll for multiple UK entities (approx. 500 employees and rapidly increasing), ensuring accuracy and adherence to payroll deadlines.
• Payroll variations such as sick pay, unpaid leave, family leave pay, and other adjustments.
• Verify that payroll changes are correctly actioned each month by preparing and reviewing reconciliation reports.
• Organise and distribute employee payslips and support BACS payment processing in line with payroll schedules.
• Assist in preparing and submitting Real-Time Information (RTI) returns to HMRC within deadlines.
• Support the preparation of monthly pension reconciliations and submission of pension contributions.
• Assist with auto-enrolment assessments, ensuring compliance with pension legislation.
• Process payroll year-end submissions, including P11D and P60 documentation. Respond to payroll queries from employees and escalate complex issues to the Payroll Manager as needed.
• Maintain up-to-date payroll procedures, checklists, and documentation.
• Ensure accurate record-keeping and adherence to company policies and legislative requirements.
• To administer the Childcare Voucher scheme, including preparation of annual (members) and ad hoc (prospective members) basic earnings assessments, the ordering of monthly vouchers within set timeframes and the preparation of payment requisitions to ensure vouchers are released in line with the monthly payroll payment.
• Proactively identify opportunities to streamline and/or improve payroll processes.
Payroll Compliance & Processing
• Assist in payroll compliance across jurisdictions, including Norwegian and Indian payroll processes as required.
• Collate Norwegian field duty and Norwegian basic pay information from submitted timesheets, calculate Norwegian tax using the online tax calculator,and process this information through the payroll system.
• Be responsible for the preparation and submission of any relevant Norwegian forms and requests for A1 dispensations to HMRC (and onward submission to the Norwegian authorities). Tax & Regulatory Submissions
• Coordinate the monthly submission of Norwegian withholding tax returns to the Norwegian Tax Authorities for all employees who have worked in Norway during that month.
• Prepare and issue calendar year summary documents to staff who have had Norwegian tax deducted each year.
• Assist Payroll Manager to administer the Company’s Net of Foreign Tax Relief scheme(s), including notifying HMRC of new entrants to the scheme on a quarterly basis. Financial Reconciliation & Reporting
• Produce a monthly General Ledger journal following payment of the monthly payroll and enter this journal into Syspro prior to month-end.
• Prepare reconciliations for all General Ledger codes relating to payroll by the end of the first working day of the following month
Ad Hoc HR, Payroll Administration & System Testing Tasks
• When quieter during the month, assist with ad hoc HR or Payroll administration tasks and HR & Payroll system testing.
To be successful as our Part Time Payroll Specialist you should have the below skills and experience:-
Demonstrable payroll experience running multiple payrolls per month.
Previous experience processing payrolls of over 500 employees with both permanent and variable payments and deductions
Experience of using an interfaced/integrated HR and Payroll system and working closely with HR team.
Up-to-date knowledge of UK payroll legislation and pension auto-enrolment.
Experience of completing manual calculations for statutory payments E.g. SSP, SMP etc.
Experience in payroll processing within a fast-paced environment.
Competent user of Microsoft Excel, including VLOOKUP and pivot tables.
Experience in processing journals and accounts reconciliations and working with Finance and use of accountancy software.
Working knowledge of pensions, auto enrolment legislation and preferably experience of Aviva pensions.
Flexibility during peak processing times.
