Director of Facilities Management 

The Director of Facilities Management will develop the strategy for hard and soft services for a multi-site dialysis clinic operation with over 225 facilities. The strategy is to create and maintain a proactive, standard process through sourcing, negotiating with, and onboarding regional and national service providers. This individual will implement and execute on the facilities management strategy, leveraging their exceptional communication and change management skills across the functional groups within the organization. Major deliverables will be time efficiency returned to clinic operators and cost savings in facility expenses while meeting quality standards in compliance with regulations and contractual obligations.

Essential Functions:

  1. Lead and direct efforts for hard and soft facility maintenance needs to include plumbing, electrical, HVAC, hot water heater/systems, parking lot, roof, floor, door/window and other similar services.
  2. Onboard and manage a computerized maintenance management system (CMMS) to effectively intake, track, and analyze clinic maintenance issues.
  3. Make appropriate repair vs. replace decision on high value critical systems such as HVAC and hot water heater/systems.
  4. Oversee the performance of contracted suppliers through a process of KPIs, scorecards, and regular business reviews.
  5. Demonstrate effective management of the lease negotiation process.
  6. Manage timeline, vendor installs, and financial aspects of maintenance services.
  7. Develop and maintain asset management tool for high-value items including dialysis machines, HVAC, and RO water systems.
  8. Oversee and manage vendor sourcing, and performance/outcomes, and relationships for professional consultants and outside vendors related to facilities
  9. Demonstrate strong leadership and excellent communication skills, both verbal and written, to work effectively with multiple levels of the organization and with external contractors.
  10. Prioritize multiple projects of varying scope and budgets to achieve tight
  11. Continually assess/improve department’s performance and delivering results in budgeted cost.
  12. Review and approve consolidated invoices from service vendors to ensure contract compliance and to resolve billing issues.
  13. Negotiate contracts, subcontracts, and purchase orders to assure that all project goals are being addressed.
  14. Handle patient information with discretion and sensitivity and maintain HIPAA
  15. Perform other related duties as assigned or requested.

Position Type, Expected Hours of Work & Travel:

This is a Full-Time, hybrid position. Days and hours of work are Monday through Friday, between the hours of 8:00 a.m. to 5:00 p.m. Travel is expected for this position, approximately 10-20% of the time. Travel frequency is based on business need and may be outside the local area and overnight.

Required Education and Experience:

  • Bachelor’s degree in related field.
  • 5+ years of facility management and maintenance experience in a multi-site scope, healthcare preferred, through contracted suppliers.
  • 3+ years of contract/bid negotiations with external vendors; lease negotiation experience preferred.
  • Experience writing or performing preventive maintenance on a variety of building service equipment.
  • Strong knowledge of preventive maintenance practices and familiarity with HVAC and life safety systems.
  • Familiarity with duration, cost, and necessary skills for standard maintenance tasks.
  • Demonstrated success in applying best practices across sites.
  • Data analysis skills to deep dive costs and benchmarking.
