Our team is dedicated to delivering exceptional service and solutions to internal and external stakeholders; we are seeking a detail-oriented and dedicated Insurance Coordinator to join our team.   Job Summary  The Insurance Coordinator supports the administration of insurance programs across multiple business entities, including a commercial real estate portfolio exceeding $2 billion in asset value. This role is responsible for maintaining accurate portfolio and property data, processing certificates of insurance and endorsement requests, overseeing tenant lease compliance with insurance requirements, and coordinating claims from initiation through resolution. The Insurance Coordinator works closely with property management teams, the insurance broker's admin team, carriers, and adjusters to keep insurance records current and transactions moving smoothly across the organization's entities, reporting to and partnering closely with the Vice President of HR & Insurance Compliance on renewal strategy, broker relationship matters, and complex claims or coverage issues. QualificationsKey Responsibilities Insurance Portfolio Management Assist with the administration and maintenance of insurance data for a commercial real estate portfolio exceeding $2 billion in asset value, across multiple business entities Process Certificate of Insurance (COI) requests, gathering information from internal teams and completing endorsement forms to update Statement of Values (SOV) portfolio data Partner with the broker's admin team to ensure COIs are issued and updated in a timely manner for transactions or as otherwise needed Partner with property management teams to maintain accurate property schedules, exposure data, and insurance-related records Support policy renewals, data collection, and reporting activities Tenant Lease Insurance Compliance Help oversee tenant compliance with insurance requirements outlined in lease agreements Review tenant certificates of insurance against lease requirements and flag deficiencies Partner with property management to follow up on and resolve tenant insurance compliance gaps Maintain compliance tracking and reporting for tenant insurance requirements Escalate lease-based insurance exceptions or unresolved compliance issues to the Vice President of HR & Insurance Compliance Claims Administration Initiate and coordinate insurance claims, including gathering documentation, tracking claim progress, and facilitating communication between stakeholders Partner with property managers, carriers, brokers, adjusters, and vendors throughout the claims process to ensure timely resolution Escalate claims involving significant value, coverage disputes, litigation, or reputational risk to the Vice President of HR & Insurance Compliance Maintain organized and accurate claim files and reporting Training, Compliance & Process Support Serve as a resource for insurance-related processes, procedures, and documentation requirements Assist with training and education efforts related to insurance programs and claims reporting Maintain certificates of insurance, compliance records, and other insurance documentation Support insurance audits, compliance initiatives, and special projects as needed Cross-Functional Support Support the Vice President of HR & Insurance Compliance with departmental initiatives, reporting, and special projects Coordinate insurance-related activities across multiple companies and business entities within the organization Develop and maintain organized systems, documentation, and processes that improve operational efficiency Perform other duties and responsibilities as assigned Block Real Estate Services (BRES), LLC, is an equal opportunity employer.
