LSF is looking for a talented Intake Specialist who wants to make an impact in the lives of others.

Purpose & Impact:

The Intake Specialist performs general administrative and office support functions to ensure the efficient operation of the shelter and program services. The Intake Specialist provides assistance to the Intake Coordinator in completing responsibilities related to intake/admissions. Demonstrate cultural competency and sensitivity to all service populations, employees, and stakeholders.  

Essential Functions: 

  • Answers Agency’s telephone to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments in a professional and cordial manner 
  • Greets and assist youth, families and other visitors to the agency if needed 
  • Provides a comprehensive screening and assessment by telephone or in person to assess the child and family problems, risks and needs in an effort to determine if the child meets the criteria for agency programs or identify the most appropriate services for family. 
  • Responsible for conducting intake/admissions with youth and families entering residential programs at both shelter programs.  
  • Responsible for data input and report compilation on Electronic Medical Records System (EMR) Lauris Online, Netmis and JJIS databases 
  • Assist community-based services in making Truancy calls, tracking contact Information and family responses 
  • Responsible for making sure daily mail and documents are coordinated between YCC’s for items that need to be transported back from one shelter to another 
  • Assists with general secretarial responsibilities as assigned (i.e., typing, filing, copying, etc.) 
  • Responsible for tracking and reporting timely submission of meal count and production records from food service coordinators and reporting compliance issues 
  • Assists and responsible for tracking and reporting timely submission of meal count and production records from food services coordinators. Assists with food service record keeping including preparation of the daily and monthly meal count rosters, and meal eligibility determination forms for residential clients. Note: monthly count roster must be at Central location by the fifth of each month 
  • Attends mandatory trainings and meetings as necessary 
  • Other duties as assigned 

Other Functions: 

Performs all other duties as assigned. Must be willing to work a flexible schedule. 

Physical Requirements: 

Must be able to work in a fast-paced environment.  Must be able to use telephone and computer over long periods of time and lift up to 10 lbs.  Must be able to present a professional image over the telephone and in person. 

Education: 

  • Must possess a High School Diploma or equivalency or Bachelors’ degree preferred. 

Experience: 

  • Must have at least five (5) years of progressive administrative experience in a professional office. 

Skills: 

Must be familiar with Voice Mail system, have extensive knowledge of Windows applications such as Microsoft Word & Excel, must be competent in math and statistics, be able to type 55 words per minute, be able to maintain a filing system and have knowledge of general office operating, administrative procedures.  Must have knowledge of and use basic accounting principles.  Must have professional business writing experience.  Bi-lingual (Spanish) required.

  • Must demonstrate sensitivity to our service population’s cultural and socioeconomic characteristics and needs. 

Principal Accountabilities: 

  • Secretarial and/or administrative support to the Program Managers and Executive Director. 
  • Team player with co-workers and Central Services staff. 
  • Accurate, complete and timely submission of monthly statistical reports to government, funding sources and Central Services office. 
  • Organize accurate and complete program files. 
  • Effective working relationship with staff members and vendors. 
  • Adhere to LSF Personnel policies and procedures.
