Summary of the Facilities Coordinator role:

Our client is seeking an experienced Facilities Coordinator to coordinate various administrative and operational tasks to support the efficient operations of facilities within the organisation. This role involves liaising with internal stakeholders, external vendors, and service providers to ensure that facilities are well-maintained, safe, and conducive to the organisation's needs. The Facilities Coordinator plays a key role in facilitating communication, managing schedules, and overseeing day-to-day operations related to facility management.

Facilities Coordinator Deliverables / Outcomes (include but are not limited to):

  • Assist in the coordination of facility-related services, including maintenance, repairs, cleaning, and security, to ensure the smooth operation of facilities.
  • Serve as a primary point of contact for internal departments, employees, and external vendors regarding facility-related inquiries, requests, and issues.
  • Schedule and oversee routine maintenance tasks, inspections, and repairs for building systems and equipment, coordinating with external contractors as needed.
  • Maintain accurate records of facility-related expenses, invoices, work orders, and contracts, ensuring compliance with budgetary constraints and accounting procedures.
  • Coordinate and track inventory of supplies, equipment, and materials necessary for facility maintenance and operations, replenishing as needed.
  • Assist in the implementation and enforcement of facility-related policies, procedures, and safety protocols to ensure compliance with regulatory requirements and best practices.
  • Conduct regular inspections of facilities to identify maintenance needs, safety hazards, and areas for improvement, and report findings to management.
  • Provide administrative support for facility-related meetings, committees, and initiatives, including preparing agendas, taking minutes, and following up on action items.
  • Collaborate with other departments, such as HR, IT, and Finance, to address facility-related needs and support organisational goals and objectives.

Skills, Experience & Qualifications:

  • National diploma or equivalent; associate or bachelor's degree in Facility Management, Business Administration, or related field preferred.
  • Previous experience in facility coordination, administrative support, or related roles preferred.
  • Strong organisational and multitasking skills, with the ability to prioritise tasks and manage time effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.
  • Proficiency in Microsoft Office suite and facility management software, with the ability to learn new systems quickly.
  • Attention to detail and a commitment to maintaining high standards of cleanliness, safety, and efficiency in facility operations.
  • Ability to work independently with minimal supervision and as part of a team, adapting to changing priorities and deadlines as needed.
  • Knowledge of building systems and maintenance procedures, as well as familiarity with regulatory requirements and safety standards related to facility management.
  • Flexibility to work outside regular business hours and respond to facility-related emergencies as needed.

Location: Abingdon, on-site

Start date: Immediate

Duration: Permanent (with initial 3–6 month probation period review)

Salary: £33,000 - £38,000 per annum (depending on experience)
