An exciting opportunity has arisen for a motivated, experienced French speaking, Executive Assistant, based in Bristol city centre,to provide highly effective support to our Managing Director and senior management by prioritising, organising and scheduling, correspondence and meetings. Responsible for office organisation, project management support, deadline compliance, procurement and the upkeep and filing of key reports and information amongst other responsibilities including:

Providing Executive Assistant support to the Managing Director in both French and English;

  • Managing extremely busy and constantly fluctuating diaries for the Managing Director and Project Director.
  • Working closely with the EA to the Directors of Boccard based in France (corporate head office) to ensure effective continuity of diaries, travel plans, itineries of Senior management and Directors.
  • Capable of making sound judgement calls regarding highly sensitive information (when and who to pass sensitive information).
  • Ensuring internal and external communication remains appropriate and effective in an environment that can be fast-paced or stressful.
  • Providing support and coordination within the wider group and across the organisation.
  • Dealing with and making informed judgements around conflicting priorities.
  • High profile visits from within Boccard and externally
  • Interacting with colleagues throughout the global business but particularly in the UK and France;
  • Responsible for managing the Bristol office and its suppliers,equipment and adhering to an agreed budget;
  • Responsible for driving the UK marketing initiative; and
  • Responible for Documentation Control from a Business perspective.

We are looking for someone who is approachable and professional, very well organised and who has a willingness to help colleagues and be able to respect confidentiality, be proactive and enthusiastic.

Ideally degree educated, as minimum educated to at least A level equivalent standard and/or have relevant comparable work experience of providing high-quality professional support, you will have a previous experience within a similar role.

EXPERIENCE

  • A substantial amount of experience of supporting at senior/director level, preferably in a Personal/Executive Assistant role
  • Experience of minute-taking, travel booking and procurement/expenses
  • Experience co-ordinating and working closely within a team
  • Experience of handling a high, busy workload able to prioritise, including managing electronic calendars using Microsoft Outlook

KNOWLEDGE

  • Computer literate with working knowledge of Microsoft Office including Outlook, Word, Excel, PowerPoint, Teams
  • Ability and confidence to learn and use internal IT systems and databases

SKILLS & ABILITIES

  • Effective verbal and written communication skills in English and French is essential
  • Common sense approach, with the ability and confidence to work unsupervised and work with a variety of teams, able to demonstrate flexibility and participate as a team member
  • Excellent attention to detail, highly organised
  • Able to forward plan/anticipate needs of Directors and adapt to changing priorities
  • Ability to empathise with the needs of the business and colleagues and relate this to your support role in the organisation

PERSONAL QUALITIES

  • Approachable and an ability to work with staff at all levels
  • Discreet with a clear understanding of handling confidential information
  • Able to travel off-site occasionally
