POST TITLE: Office Manager/PA

DEPARTMENT: Memoria Group

HOURS: Full-time (40 hours a week)

RESPONSIBLE TO: Deputy CEO

SALARY: 拢35,000 per annum

Job Purpose

To provide administrative support to the Deputy CEO with management of certain key functions for the business

Outline of Primary Duties

PA/EA Duties

路 Provide diary management support to the Deputy CEO of Memoria Ltd

路 Report writing / reviews

路 Support construction process for new crematoria and COLC.

路 Provide administrative support to all online memorial sales

路 Book venues, meetings and events

路 Provide administrative support to all Memoria board meetings including preparation and management of monthly board packs.

路 Take meeting minutes as required

路 Assist Deputy CEO with private engagements, personal shopping and medical appointments

路 Complete general research tasks both in industry and non-industry related tasks.

路 Organise travel support for all senior and relief managers.

路 Supporting our planning team with all administrative tasks to do with planning applications, legal challenges etc.

路 Support directors with the compiling of monthly expense claims.

Marketing Duties

路 Assist with the management of website content

路 Assist any change to marketing material - managing the sign off process

路 Work closely with Senior team to ensure that content is appropriate

Office Management Duties

路 Assist with the management of the Company fleet including:

o Insurance

o Servicing

o Fuel card allocation

o Tolls and charges

路 Ensure that the office has supplies for catering, cleaning etc

路 Manage any requirements for building maintenance

路 Manage off-site archiving process

路 Authorising invoices for cleaners, archiving

Key Competencies

路 High level of Word, Excel and systems experience

路 Good communication skills

路 Initiative and the ability to prioritise / manage own workload

路 Adaptability

路 Integrity, sensitivity and commitment

路 Attention to detail
