  • Working Hours: Monday to Friday, 9:00 am – 5:00 pm (1-hour lunch)

We are seeking a dedicated Office Administrator to join our team on a temporary basis to cover maternity leave. This role is essential in supporting the Office Manager and ensuring the smooth operation of our business activities.

Day-to-day of the role:

  • Weekly tasks include adding invoices and receipts to Sage, updating job folders, checking invoice prices for overcharges, and ordering materials from suppliers.
  • Compile job packs, scaffold and take off sheets, manage new enquiries, and update leads spreadsheet.
  • Assemble quotes, manage emails and incoming calls, and monitor Google ad and organic positions.
  • Update customers with materials delivery dates and fitter start dates, collect ceiling/damage photos from fitters, and create order forms.
  • Post new plans to customers, handle application forms for Total Building Control, and manage calcs and correspondence with Total Building Control.
  • Perform postal duties as required.
  • Monthly tasks involve handling supplier statements, communicating with suppliers regarding overcharges, obtaining up-to-date terms from suppliers, and filing paid invoices/statements.
  • Order new brochures, distribute brochures/design sheets as needed, order skips when required, and update the reviews sheet.

Required Skills & Qualifications:

  • Strong organisational skills and attention to detail.
  • Ability to manage multiple tasks and prioritise effectively.
  • Excellent communication skills, both written and verbal.
  • Experience in an administrative role, preferably within a similar business environment.
  • A proactive approach to problem-solving and the ability to work independently.
